If you are going to be holding a meeting with people who all reside in somewhat the same area, then you will do fine with renting a meeting room that's in the local region. As long as people don't have to travel too far, they should all be fine with meeting up at that location.

For example, if you have attendees coming from California, Utah, Arizona, New Mexico, and Nevada, then you would do best renting a meeting room in Las Vegas. You will have a lot of options when it comes to renting the right meeting room, there is a major airport right there, and there are cheap accommodations in the city. These are all examples of things to consider when choosing the right region for your rented meeting room.

You also want to rent a meeting room that is going to be in a nicer area, so your attendees will be happy with the area and feel you respect them enough to go with a nice setting.

You also want to be sure that you rent a meeting room that is the right size for your needs. It is better for you to get a meeting room rental that is a little larger than what you feel you will need, then to rent one that is too small and ends up not accommodating all your attendees.
